Assistant to the Town Coordinator

The Assistant Town Coordinator will support the current Town Coordinator during the period of transition as he retires, and a new coordinator (or coordinators) are hired and trained. This staff member will take on several coordinator tasks related to tracking the town budget and accounts. This staff will also assist the current coordinator with position documentation, supporting department heads, and human resources functions.

Specific Duties Include:

  • Support department heads with budgeting, accounts payable, payroll. Assist with development of processes and form creation as needed.
  • Review all accounts payable and payroll submissions from town departments. Coordinate troubleshooting and necessary budget adjustments with the town accountant.
  • Review revenue turnovers, coordinate adjustments as needed with the town treasurer.
  • Support the finance committee in the development of a proposed fiscal year 2027 town budget.
  • Develop documentation of office procedures as needed.
  • Assist the current coordinator with documentation and administration of existing grants and ongoing grant applications.
  • Assist the current coordinator, the treasurer, and department heads with human resources procedures and issues.
  • Assist the current coordinator and the town clerk as needed in maintaining town records and responding to record requests.
  • Assist the current coordinator with any other tasks needed with a focus on preparing for the next transition in that office.

Required Qualifications:

  • Excellent organizational and communication skills are essential.
  • 2 or more years of experience with accounts payable and payroll.
  • Familiarity with Massachusetts municipal finance and budgets.
  • A proven ability to interpret financial reports and develop budgets.

Preferred Qualifications:

  • Supervisory experience including knowledge of human resources best practice.
  • A proven record of using databases, spreadsheets, and word processing.
  • Extensive knowledge of municipal finance.

Schedule:

  • This is a temporary position, to start as soon as possible and anticipated to end (?6 months / May elections / June 30?)
  • 10 – 20 hours per week, primarily weekday hours with some evening meetings. Schedule to be approved by the current town coordinator.

Pay Range: $20-$40 per hour
